Tips for Renting Space

The following are some obvious and not so obvious things to consider as you search for, inspect, and commit to a rented rehearsal and/or performance space.

Start By Asking Questions

  • Will the space be accessible whenever you may need it?
  • Is your rental exclusive?
    • Be aware that some facilities will want to rent the space to other groups/companies during times when you will not be occupying the space, e.g. many theatre companies use dark nights (typically Mondays) to host readings.
  • What is the storage policy during rehearsal and/or your production's run?
  • Will the space accommodate the number of people and set pieces or equipment you'll need to bring in?
  • Can the space accommodate all your uses, e.g. both music and dance?
  • Must you provide general liability insurance (for the audience)?
    • General liability insurance is often a "hidden" cost of renting a space. If you do need it, contact Fractured Atlas.
  • Must a fireguard be present at all performances?
    • A fireguard is certified by passing a written exam administered by the New York City Fire Department. Information (PDF) about taking the fireguard exam.

When Visiting a Space

  • Ask to see anything that you have been told will be available to you (i.e. storage space, technical booth, lighting and sound equipment, dressing rooms, box office, etc).
  • If you are promised any working equipment or air-conditioning, ask to turn it on to be sure that it is working.
  • Is there a freight elevator? When is it available?
  • Find out whether anything that goes on in adjacent spaces or areas around the space might disturb your work (another performance or rehearsal, classes, machinery, construction, etc).
  • How clean are the facilities?
  • Do you feel comfortable or safe in the neighborhood (especially at night)?
  • Is the space relatively accessible to public transportation?
  • What restaurants are available in the area?

Once You Have Decided to Rent

  • First and foremost: A written contract is highly recommended as it will supersede anything that has been agreed upon verbally. Read the contract carefully for everything you have discussed.
  • To avoid potential problems, be honest about what the use of the space will involve, e.g. Note any lighting equipment that will be loaded in, whether music and dance will be involved, any complicated set specifications, etc.
  • Be clear about the dates and times the space is to be rented.
  • Be clear about payment arrangements. Ask how and when payment must be made and what the cancellation policy is.
  • Ask who on the facility’s staff will be on-call when you are there, and how to reach them 24/7 in case of a space emergency.

Additional Tips for Theatre

  • Do you need to comply with Equity or other union regulations?
  • Must you provide volunteer or worker's compensation (required by Equity)?
